Interlibrary Loan (ILL)

When a book or article is not available at UBA, you can use the service of Interlibrary Loans.To use this service you need an ILL account to request publications from PiCarta catalogue. In this national database you will find books and journals from over 400 Dutch libraries The database also includes articles from a large number of journals.

Books requested will be delivered to the library where you opened your account, articles will be sent directly to your home or email address.

You can acces Picarta:
- from PCs within the UvA digital domain, directly or through the digital library without having to log in;
- from PCs outside the UvA digital domain at www.picarta.nl with your personal code.

Opening an ILL account

ILL accounts are available to UvA students and all patrons with a valid UBA library card. If you do not have a UBA library card, but wish to request books or articles from other libraries, please apply to the UvA library of your choice. You will be given a special ILL password. UvA students receive a once-only deposit of € 12.00

To put money in the account please go to the desk of your library.

Your ILL account number is either identical to your UBA library card number or your student number, preceded by uva (without a hyphen or space, e.g., uva0123456).

Researchers from the Humanities faculty receive a free ILL account. These can only be requested through the form below.

Customers having an account must comply with the regulations, mentioned in the link below.

Submitting requests with an ILL-account

You can order ILL material via the PiCarta database. This database can be found in the Digital Library. Just click on PiCarta.

Requests are made as follows:

  • Search PiCarta for the publication you need and put it in full presentation mode.
  • For books click “borrow”, for articles “photocopy”.
  • Enter your library card number (or student card number preceded by uva) and your personal ILL password.
  • Click the “send” button.
  • Read the information on the request screen carefully.
  • Fill out the form as completely as possible.
  • For articles indicate if you prefer a photocopy or a scan by email.
  • Check the list of possible suppliers and state your preference by unticking the boxes of other libraries. When doing so, always make sure to enter the “renew” button. New lists of suppliers and rates will then appear on screen. Be careful, though:  the “quick service”  rates are very high and few libraries can deliver books or articles within 24 hours, although PiCarta suggests otherwise. Electronic document supply opts for “normal service” and is therefore  cheaper than delivery by mail.
  • Confirm your request by entering your password once more and click the “send” button.

Viewing requests and changing your personal settings

Under My profile in PiCarta you will find:

  • a list of all your ILL requests to date;
  • your deposit status;
  • your name and address files, and the possibility to change your email address;
  • your SDI requests, and the possiblity to change or delete them;
  • the option to change your personal ILL password.

Further possibilities of your ILL account

Having an ILL account also enables you to use:

  • Alerts by email (SDI: selective dissemination of information). Recently published literature corresponding to your criteria or tables of contents of journals can be brought to your attention via email. This nationwide alert service can be found at PiCarta. Please read the information on SDI  (under RSS) in Picarta's Help file.
  • Search or zero account. No deposit is made in your account, therefore no requests can be made, but Pica databases will be available. This enables you to search Picarta and use its alert service (SDI).

Charges

The cost will be charged to your deposit, immediately after the request has been submitted.
For books there is a standard rate, articles depend on the number of pages copied. In some cases a higher amount will be charged for handling your request, for instance when more photocopies are sent than initially paid for. If a request cannot be honoured,  your account will automatically be credited. To put money into the account please go to the desk of your library.

Rates for UvA students with an ILL account

Interlibrary Loan from abroad

Should you wish to order books or articles from libraries abroad, you can either mail your request to: ibl-uba@uva.nl or fill out the appropriate form and leave it at the desk of your UvA humanities library. Please state all bibliographical data available, using legible handwriting.

Once processed, books will be sent to your libary and articles will come to you by mail. All costs will be charged to your deposit, provided it has sufficient balance. This service naturally requires an ILL account. All charges are automatically accepted after handing in the request.

Please allow for extended delivery times. We depend on the cooperation of the libraries abroad. Not all of these are inclined to send their books by mail. A submitted request does not guarantee delivery.

These stipulations only apply to accounts from UvA Humanities libraries.
